How to invite a family to their tribute, send the link, set passwords, limits and end dates, and manage reminder emails.
Updated 2026-10-19
1. Creating an invite
How to invite a family so they can start adding photos and memories to their tribute.
- On your Dashboard, open the Tributes tab and click Invite Client.
- Enter the Client Name. This becomes the tribute's name in your list, so each one must be different.
- Enter the Client Email. This is where the invitation is sent.
- Set a Client Password of at least 6 characters.
- Fill in any limits or dates shown under Limits, or leave them as they are to use your usual settings.
- Click Create Invite Link. You will see Invite created successfully and the family's link.
- Click Done, or Create Another to invite the next family.
Does an invite use a credit?
Yes. Each invite creates a tribute and uses one credit. If you delete the tribute before its video is made, the credit comes back.
Can two families share one email address?
Yes. Each invite gets its own link and opens only its own tribute.
Why does it say No Credits Remaining?
You need at least one credit to invite a family. Click Purchase to buy more.
2. Sending the link: email, copy link or QR code
The ways to get the invite link to the family, and how to send it again.
When you create an invite, we email the link to the family straight away. You will see Invitation email sent to and their email address.
You can also share the link yourself:
- Copy: on the Invite created successfully screen, click Copy, then paste the link into a text message or your own email.
- Show QR: shows a QR code the family can scan with their phone camera. Click Download QR Code to save it as a picture to print or send.
- Copy Link: later on, click the family's tribute in your list, then Copy Link.
- QR: shows the QR code from the tribute in your list. Turn it on in Settings, under Invitations, with QR Code.
- Resend Email: sends the invitation email again from the tribute in your list.
If you'd rather send every link yourself, turn off Setup invitation email in Settings, under Account. Resend Email still works when you need it.
The family hasn't received the email.
Ask them to check their spam or junk folder. Check the email address with the pencil next to their name, then click Resend Email.
Can I open the link myself to check it?
Not while you are signed in as your funeral home. Open it in a private or incognito window instead.
Who does the email say it is from?
It uses your Organisation or Name from Settings, so the family knows it's from you.
What does the family see when I send the link in a message?
Apps like WhatsApp, Messenger and iMessage show a small preview of the link: the tribute name, your funeral home name and the tribute photo. The photo is the opening portrait, or the first photo in the tribute, shown as it is in the tribute. With no photos yet, your logo shows, or a plain Tribute Creator card.
3. Client passwords
What the client password is for, and how to change it when a family forgets it.
The invite link opens the family's tribute on its own, so most families never need the password.
The password is for signing in another way. The family clicks Sign In on the website and enters their email and the password you set.
The password is not in the invitation email. Tell the family yourself if they might need it.
Changing a password
- On the Tributes tab, find the family in your list.
- Click the pencil next to their name. This opens Edit Client.
- Type the new password in New Password. It must be at least 6 characters.
- Click Save Changes, then let the family know the new password.
You can also correct the Client Name or Email Address in Edit Client.
Can I see the password I set?
No. Set a new one in Edit Client instead.
The family used Forgot your password. Why didn't it work?
Password reset emails are for funeral home accounts. Families need you to set a new password for them.
4. Upload only links for other relatives
A separate link that lets other relatives add photos to a tribute, without editing it or seeing the preview.
- Go to Settings, then Invitations, and turn on Upload Link.
- Under Visible sections for clients, tick the parts relatives can add to, like Photos & Videos or Voice Recording.
- On the Tributes tab, click the family's tribute and click Copy Upload Link.
- Paste the link into a message to the relatives. Their photos go into the same tribute.
- When they finish, they can notify you, and you get an email to say they have finished uploading.
An invite with the upload link only
With Upload Link turned on, the Create Invite Link form shows Family can edit the tribute. Turn it off to email the family the upload link only.
They can add photos and the sections you tick under Upload Link Sections, but can't edit or preview. You build the tribute from what they send.
Can I change the sections for one tribute?
Yes. Click Limits on the tribute, tick the sections under Upload Link Sections, then click Save Settings. Limits shows when a media, time or end date limit is turned on.
Do relatives need a password for the upload link?
No. The link opens the upload page on its own.
5. Setting an end date and countdown for one invite
How to choose the last day a family can make changes, and turn on daily reminders for that family.
- First turn on Family editing end date in Settings, under Invitations. You only need to do this once.
- When you create the invite, pick a date in Family can edit until. Leave it empty to let them edit until the tribute is deleted.
- To remind this family by email, turn on Final step reminders.
- In Start reminders at, pick the date the daily reminders should begin. It can't be after the Family can edit until date.
- Click Create Invite Link.
- To change the end date later, click Limits on the tribute, change Family Can Edit Until and click Save Settings.
Each tribute in your list shows Family can edit until and the date. After that date it shows Family editing ended and the status Editing closed.
Once editing has closed, the family can no longer make changes. You can still review the tribute, edit it and make the video.
Reminders are already on in Settings. Do I need the switch?
No. With Final step reminders on in Settings, every family gets them. The switch on the invite turns them on for one family.
How late can the end date be?
The date picker only allows dates up to when the tribute is due to be deleted.
6. Choosing what the family can use
How to set the limits and buttons that appear on your invites, and change them for one family.
Go to Settings, then Invitations. Under Client Invitation Limits, turn on the options you want. Changes save straight away.
- Media Limit: caps how many photos and videos a family can add. Enter a number to set your usual limit for new invites.
- Time Limit: caps the total length of a family's media, in minutes.
- Family editing end date: adds a Family can edit until date to each invite. Enter your usual number of days after the invite.
- QR Code: shows a QR button on each tribute in your list.
- Copy Preview Link: shows a Copy Preview Link button on each tribute, so the family can watch the preview.
- Upload Link: shows a Copy Upload Link button, and lets you make upload only invites.
Changing limits for one family
When you create an invite, the turned on limits appear under Limits, filled in with your usual values. Change them for this family, or leave a box empty for Unlimited.
- To change them later, click the family's tribute on the Tributes tab.
- Click Limits. This opens Family Access & Permissions.
- Change Media Limit (images + videos), Time Limit (minutes) or Family Can Edit Until.
- Click Save Settings.
I can't see the Limits button.
It only shows when Media Limit, Time Limit or Family editing end date is turned on in Settings.
Will changing Settings affect families I have already invited?
Your usual values are used for new invites. Use Limits to change a family you have already invited.
7. Reminder emails and opting out
How the daily reminder emails work, how to get copies, and how families and you can stop optional emails.
Turning on daily reminders
- Go to Settings, then Account.
- Under Family Tribute Communications, turn on Final step reminders.
- In Start reminders at, enter how many days before the end you want the reminders to start.
The family then gets one email a day near the end of their time. It says how many days are left and links to their tribute.
The reminders count down to the family's Family can edit until date, or to the end of the tribute if there isn't one. They stop once the video is made.
To get a copy of each reminder, turn on Copies of Family Tribute Reminders under Funeral Home Staff Notifications.
When a family opts out
Every reminder has an unsubscribe link. It opens Email preferences, where the family can untick Daily reminders and click Save my choices, or click Unsubscribe from all.
After that, they no longer get reminders for that tribute. You can still contact them yourself.
Choosing your own emails
In Settings, under Account, find Emails we send you and click Choose emails. You can turn tribute activity, deleted-tribute confirmations, reminder copies, tips and news on or off.
Emails about your account, like email verification, password resets and purchase receipts, are always sent. So are warnings before a tribute is deleted.
Can I turn on reminders for just one family?
Yes. Turn on Final step reminders when you create their invite. See setting an end date and countdown.
Why can't I turn on reminder copies?
Copies of Family Tribute Reminders only works when Final step reminders is turned on.
